Online Advising Appointment Guidelines

All students are expected to adhere to each of the guidelines listed below when participating in an academic advising appointment:

  1. All online advising appointments are conducted through Zoom, video-conferencing software offered for free to Texas State students.
  2. Please be appropriately dressed and use respectful language. Be prepared to remain engaged and present throughout your appointment.
  3. Ensure you are in a location free of distraction and relatively low noise to avoid disruption of your appointment. Utilize headphones, if necessary, to help minimize noise.
  4. For your safety and due to the nature of requiring email correspondence within the appointment, you are not permitted to operate a motor vehicle during your advising appointment.
  5. Make sure your internet connection, video, and audio equipment are functioning properly prior to your advising appointment to avoid delays/cancellations.
  6. Have your Texas State email account readily available during your appointment. At the conclusion of your appointment, you will be required to send email confirmation that you have read, understand, and agree to the advising plan provided by your advisor.
  7. Advisors, students, and any guests are prohibited from recording Zoom meeting advising sessions.
  8. Due to federal regulations (FERPA), family/guests are not permitted in advising sessions without proper documentation. Therefore, additional guests cannot be present in your room during your online appointment unless you have already granted them access (this will be verified at the start of advising appointment should you have a guest; if access has not been granted your appointment will be cancelled and rescheduled)

No-Show Policy

  • If you need to cancel or reschedule an appointment, you must notify the Advising Center at least four hours in advance. Failure to provide required notice will result in your cancellation being marked as a no-show.
  • If you are more than 10 minutes late to your appointment, your tardiness will be marked as a no-show. Additionally, the ability to complete your appointment will be at the discretion of your advisor and you may be required to reschedule instead.
  • If you miss your appointment, your absence will be marked as a no-show.
  • After reaching three no-shows, you forfeit the right to schedule advising appointments more than one-business day in advance and will only be able to schedule and attend next-business day appointments (which are not guaranteed and are available on a first come, first-serve basis) or utilize our online advising plan request form.
